Junior Secretary to GCEO

About the Role:
This role provides dedicated administrative and coordination support to the GCEO office. You will be responsible for managing schedules, coordinating meetings, supporting board and management reporting processes, and ensuring smooth day-to-day executive operations. This position requires strong organisation, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Core Duties and Responsibilities:
- Calendar and Meeting Mastery
- Manage a high-volume, ever-changing calendar with foresight and accuracy.
- Coordinate international travel itineraries, including flights, accommodation, and visas, across multiple time zones.
- Organize board meetings and high-level executive sessions, ensuring all logistical elements are seamless.
- Executive Support & Planning
- Assist in organizing the GCEO’s priorities and ensuring readiness for meetings and events
- Coordinate schedules, materials, and logistics to support meeting preparedness
- Meeting & Board Coordination
- Support preparation and consolidation of MCM and Board papers, ensuring timely collection from departments and external parties
- Attend meetings to record action items and track their progress toward completion with relevant stakeholders.
- Communication Management
- Ensure accuracy and timeliness of internal announcements and external communications
- Liaise with internal stakeholders and external parties when required
- Administrative & Operational Support
- Assist in GCEO’s claims submission by the 10th of each month
- Assist in the coordination, data collection, and follow-ups required for the company’s Annual Report.
- Execute diverse administrative tasks and special projects assigned by the GCEO.
- Service Excellence
- Ensure proper refreshment arrangements for meetings and events
- Maintain professionalism in all administrative duties
Key Requirements:
- 2–4 years of experience in executive secretarial support, ideally within a global or PLC environment.
- Discretion: Absolute integrity in handling highly confidential board-level information.
- Resilience: The ability to remain calm and effective under pressure and within shifting timelines.
- Tech Savvy: Expert-level proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel).
- Good organizational, time management skills and communication skills
- Attention to detail and accuracy
- Adaptability and willingness to learn
- Ability to manage multiple tasks
